Location: Scotland - this role is predominantly remote, but candidates must be based within commuting distance of our Edinburgh and Glasgow offices to support occasional on-site activities.

About the role
We are looking for an IT Operations Coordinator to cover maternity leave within our IT team. This role is central to the smooth day to day operation of IT across the business, working closely with colleagues to ensure systems, processes, and support enable a strong customer and colleague experience.
This is not a hands on technical engineering role and does not involve people management. Instead, it is an operational, coordination focused position, ideal for someone who understands how technology supports the business and enjoys taking ownership, problem solving, and making things work well.
The role operates with a high degree of autonomy, with clear responsibility for day to day IT operations, supported by a structured onboarding plan and ongoing guidance from the IT Director.
About you
We are looking for someone who is organised, curious, and comfortable taking ownership. You do not need deep technical expertise, but you should be confident working with business systems and technology, and able to quickly understand new platforms.
Many of our IT team have come from frontline or operational roles and developed strong systems and technical capability over time. We value business understanding and customer experience as much as technical knowledge.
Key responsibilities
Coordinating day-to-day IT operations across the business
Acting as a primary point of contact for IT-related queries and issues, triaging and progressing as appropriate
Working with outsourced IT support partners to ensure effective helpdesk delivery and issue resolution
Monitoring and escalating support issues where required to maintain service quality
Procuring and coordinating end user IT equipment such as laptops, mobiles, and peripherals
Managing IT onboarding and offboarding processes for starters and leavers, including equipment provision and access
Supporting and administering core business systems and platforms, including Microsoft 365 and business applications
Supporting the maintenance and organisation of SharePoint sites, content, and structures
Assisting with Microsoft licensing administration, including licence assignment and user access
Supporting user administration tasks such as profile updates, group membership, and access changes
Working closely with colleagues to understand operational needs and improve how systems and processes are used
Liaising with external suppliers and service providers where required
Supporting system adoption through clear guidance, documentation, and user support
Supporting the delivery of business IT projects, including user communications and change support for new platforms
Assisting with the rollout of cyber security and information security initiatives across the business
Maintaining accurate records, documentation, and operational processes
Key requirements
You are likely to have:
Experience in an operational, systems, or coordination role
Confidence working with business systems or CRM platforms
Some experience working with Microsoft 365 and SharePoint
Experience coordinating with third party suppliers or service providers
Strong organisational and communication skills
The ability to work independently while knowing when to seek guidance
A practical, problem solving mindset
Experience within the Sales and Lettings sector or a professional services environment would be an advantage, but is not essential
Experience within the property sector or with industry specific systems is not required.
